This Privacy Policy (hereinafter the “Policy”) explains how the Finnish Veterinary Association (Suomen Eläinlääkäriliitto ry) collects, processes and discloses personal data in connection with the management of the membership relationship, member services and the website www.sell.fi.

2. COLLECTION OF PERSONAL DATA
Your personal data may be collected in various ways. As a rule, we collect and process personal data that you have provided to us when you contact us or deal with us—for example, when you join as a member, update your membership information, use member services or subscribe to our newsletter—or that is generated during your visit to our website, whether logged in or not.
You are not required to provide us with personal data, but if you choose not to, we may be unable to process your membership application or provide our services.
We collect and process, for example, the following categories of personal data:
• basic information such as name, personal identity code, contact details (email, address, phone number), gender and communication language;
• information relating to the membership relationship such as date of joining, membership type, membership number, academic degree, work sector, membership fee details, billing address, marketing consents and prohibitions, possible dual membership in another Akava union or a Nordic veterinary association, and year of retirement;
• employer information such as employer name and employment start and end dates;
• member contacts and related correspondence as well as records regarding data subject rights;
• positions of trust within the Veterinary Association;
• information affecting the amount of the membership fee such as documentation related to grounds for discounts (e.g., information provided by the member regarding income, family leave or periods of unemployment);
• information related to the Association’s member services such as rights to use the Association’s logo in professional activities, registration for and participation in the Association’s events, and for student grants, information provided in the application such as destination, schedule and grounds for the application;
• responses to member and other voluntary surveys;
• data collected during the use of our website, e.g. usernames, passwords, identification-related data, log data, and information collected via cookies or similar technologies (device ID and type, operating system and application settings) and other case-specific data based on your consent.
3. PURPOSE AND LEGAL BASIS OF PROCESSING PERSONAL DATA
We collect and process only personal data necessary for our operations and membership management.
We process your personal data for the following purposes:
Management of membership relationship and provision of member services
Processing is primarily carried out to manage the membership relationship and provide member services, including member advocacy. The basis for processing is the contract between you and us, or your request to enter into such a contract (membership application).
Marketing
We may contact you regarding member benefits and services related to membership. We may also process data for market research and member surveys. The basis for processing is our legitimate interest. You may object to direct marketing at any time.
Service development, data security and internal reporting
We process data to ensure the security of member services and the website, to improve quality, and to develop services. We may also compile internal reports for management. Processing is based on our legitimate interest.
Compliance with laws
We may process personal data to fulfil legal obligations, e.g., accounting or responding to lawful authority requests.
Other purposes with your consent
We process data for other purposes when you have given consent.
4. TRANSFERS AND DISCLOSURES OF PERSONAL DATA
We may disclose data:
• as permitted or required by law (e.g., tax administration, authorities, legal proceedings);
• to partners processing data on our behalf under contract;
• when necessary to protect rights, safety, investigate misuse or respond to authority requests;
• with your consent, e.g., partners providing member benefits;
• to the insurance company LähiTapiola for verifying membership in relation to insurance events.
5. TRANSFERS OUTSIDE THE EU/EEA
Data may be transferred outside the EU/EEA if a partner operates there. Appropriate safeguards will be ensured per GDPR.
6. COOKIES
We use cookies and similar technologies on our website. Cookies are small text files placed on your device to collect and store useful information and improve usability. We may also use cookies for statistical purposes.

7. STORAGE OF PERSONAL DATA
Data is retained as long as necessary. Personal data is stored throughout the membership. Before membership begins, but after an application is submitted, processing continues until membership begins unless the application is withdrawn.
Data may be retained after membership ends to the extent permitted or required by law, e.g., for responding to claims or maintaining marketing prohibitions.
Data is deleted when no longer needed.
8. YOUR RIGHTS
You have the right to access your data and request rectification, updating or deletion. Data required for the purposes in this Policy or required by law cannot be deleted.
You have the right to object or restrict processing under certain conditions. You may have the right to data portability.
When processing is based on consent, you may withdraw your consent at any time.

9. DATA SECURITY
We implement appropriate physical, digital and administrative measures to protect data. Access is limited to those who need it. Despite measures, all risks cannot be eliminated. In case of a data breach, we notify you per law.
10. AMENDMENTS TO THIS POLICY
We may amend this Policy. Changes will be announced on www.sell.fi/etusivu/tietosuojaseloste.
